Support segregation of duties for data approval

I would like to submit an enhancement request regarding segregation of duties in Envizi.

From an internal control and audit perspective, we need to separate data entry and data approval, and this separation should be enforced by the system. This is not a special requirement, but a common internal control expectation.

Currently, with [Access Role] General User + [Work Role] Data Approver, a user can enter, edit, and approve data, including records they created themselves. This means the same user can both create and approve the same record, which would likely be viewed by auditors as segregation of duties not being implemented effectively.

On the other hand, with [Access Role] View Only + [Work Role] Data Approver, the user cannot enter or edit data, but also cannot approve records.

Because of this, we would like to request an enhancement that allows Envizi to enforce segregation of duties more appropriately, such as:

  • allowing approval without data entry/edit access
  • preventing self-approval of records created by the same user
  • requiring approval by a different user when the record was entered by an approver

    I tested this feature.

    I confirmed that segregation of duties is working by comparing the user in the Created By field with the user who approves the record.

    However, the approver can still update the record details. In that case, there is a concern that the approver may be able to approve changes made by themselves.

    Thank you for raising this idea. Separation of duties can be enabled under the Approval settings section in Admin->Organization Preferences->Data Management Preferences. Enabling this setting means that no single user can perform more than one of the following actions for a single record:

    1. Data capture

    2. Review (optional)

    3. Approval
