Add "Update Existing Records" Upload Option for Secondary Measure Fields

 

Currently, template uploads support only two options:

  • Overwrite – replaces the entire existing record.
  • Insert – creates a new record for the same account and date.

This creates a challenge in scenarios where primary measurement data (for example, Quantity in MWh/KWh) is loaded automatically through integrations, while secondary information (for example, Cost) must be added manually afterwards.

When users need to upload cost values for existing records:

  • Using Overwrite requires including the original quantity values in the upload file. If these values are missing or incorrect, the integrated data may be lost.
  • Using Insert creates duplicate records for the same account and date, which can impact calculations such as accruals and daily averages.
  • Manual editing through the UI works, but is not practical when handling large volumes of records.

Proposed Enhancement

Introduce a third upload option called Update.

The Update option would:

  • Match existing records based on Account, Date, and other key identifiers.
  • Update only selected fields (e.g., Cost / Secondary Measure).
  • Preserve all existing values that are not included in the upload file.
  • Prevent accidental overwriting of integration-loaded quantity data.
  • Avoid creating duplicate records that can affect accrual calculations and reporting.

Business Value

This enhancement would enable organizations to combine automated quantity integrations with manual cost updates safely and efficiently. It would:

  • Reduce the risk of data loss.
  • Eliminate the need to maintain and re-upload original quantity values.
  • Improve usability for high-volume data maintenance.
  • Support common business scenarios where quantity and cost data become available through different processes and at different times.

Use Case Example

An organization automatically imports electricity consumption (MWh/KWh) through an integration. Cost information becomes available later and must be uploaded manually. Users should be able to upload only the cost values and have the system update the existing records without modifying the already-integrated quantity values or creating duplicate records.

Expected Result: Existing records are updated with cost information only, while the original quantity data remains unchanged.
