Automated Feed for Login Details

Problem

JLL requires daily delivery of user access and login information to multiple clients across various platforms, including Envizi. This reporting includes details on user permissions and last login activity for each client instance.

Currently, the process for retrieving Envizi login data is entirely manual. JLL Support team members must log into the platform daily, navigate to the Login Activity page, manually download reports, and save them to a shared folder. The development team then retrieves these files, consolidates them with data from other applications, and delivers the compiled reports to clients through existing automated feeds.

This manual approach creates several challenges. The daily requirement for this information makes the current process time-intensive and resource-heavy. Manual data retrieval also introduces potential for human error and inconsistencies in reporting accuracy. Additionally, the workflow creates unnecessary dependencies between support and development teams, reducing operational efficiency.

Solution

We recommend implementing an automated feed from Envizi to JLL through an SFTP server that delivers standardized login and access information. The automated solution would provide three key data points:

1.     Contact Name

2.     Last Login Date

3.     UPN - The UPN is provided by TAT and stored in the Envizi backend.

This automation would eliminate the manual data retrieval step while leveraging JLL's existing client delivery infrastructure. The development team would automatically receive Envizi data via the SFTP feed, pull complementary user access information from TAT, and use the UPN field to map and consolidate data from both systems. The consolidated information would then flow through JLL's established automated client delivery feeds.
