IBM TRIRIGA – Bulk Download and Automatic Folder Organization of Lease Documents by Lease/Location

Currently, IBM TRIRIGA Lease Management allows users to view documents associated with an individual lease record through the Notes & Documents / Associated Document List. However, there is no standard capability to bulk download documents across multiple lease records and automatically organize them into separate folders based on the corresponding lease or location.

We request an enhancement to IBM TRIRIGA that allows users to select multiple lease records or lease locations and download all documents associated with those leases in a single operation.

The proposed functionality should:

1. Allow users to select multiple lease records/locations.

2. Retrieve all documents associated with each selected lease from the Notes & Documents / Associated Document List.

3. Automatically create a separate folder for each lease/location.

4. Place all documents belonging to each lease into its corresponding folder.

5. Allow the folder name to be based on the Lease ID, Location ID, Lease Name, or another unique identifier configured by the customer.

6. Provide the organized documents as a single downloadable ZIP package.

The enhancement would significantly reduce the manual effort required to individually access lease records and download and organize their associated documents, especially when a large number of lease locations need to be processed.

This capability would be particularly beneficial for Legal, Real Estate, and other business teams that need to collect and organize lease documentation for review, archival, document consolidation, and downstream activities such as AI-based lease abstraction and document analysis.

The proposed enhancement should maintain the relationship between each document and its respective lease/location and ensure that documents are placed in the correct lease-specific folder.

This functionality would provide an efficient and scalable way to retrieve and organize lease documentation directly from IBM TRIRIGA without requiring users to manually download and organize documents for each lease individually.
