List View of all applications - Editable column layout for public and user specific

We request the ability for users to configure list view column layouts at both the public (shared) and user-specific (personalized) levels across all applications in MAS Manage.

From a usability perspective on the traditional applications, editable list views would greatly improve the technician experience by making data visibility customizable to individual workflows. Every technician has unique needs, different constraints, and often works under different supervisors/managers. Allowing personalization would reduce friction, improve adoption, and minimize the reliance on support teams for small UI changes.

From a technical perspective, a feature like this would:

  • Reduce the need for administrators to implement one-off changes to application list views.
  • Limit the volume of requests for duplicate applications or customizations for specific groups.
  • Allow administrators to maintain control through Saved Queries and shared/public views, while giving users flexibility at the individual level.
  • Provide an override structure where public layouts can be adopted or personalized further at the user level.

In addition, expanded usability enhancements should be considered. For example, the ability for users to apply simple formatting (bold, italic, underline, background color, or text color) would help highlight key data points in the list view. This level of customization would allow technicians and managers to visually prioritize certain fields (e.g., overdue records, high-risk assets, critical WOs) without requiring back-end changes.

Finally, tying this functionality to Security Groups, Sites, or Organization levels would make it scalable and manageable across larger enterprises. This would allow layouts to be:

  • Publicly shared to the whole organization.
  • Scoped to specific groups or sites.
  • Personalized by individual users without impacting others.

  • Reduces workload for asset management support teams.

    Thank you for taking the time to provide your ideas to IBM. We truly value our relationship with you and appreciate your willingness to share details about your experience, your recommendations, and ideas.

    This is a long-standing and well-known requirement that has actually been addressed in the Maximo Application Framework role-based applications in MAS. It is available in the Operational Dashboard Work Queues, the Work Order Summary app, and the Asset and Location application's lists. There, you will see a method to edit the out of the box columns, including their order and widths.


    Then, you can use the dropdown for "Views" of that table. This allows you to swap between existing views as a create a public view for other users, or private view for only the current user.
    The only limitation is availability across all applications in Manage, since this is part of the new Maximo UX. There are plans over the long-term to migrate older applications to the new UX, which will include this capability. In the meantime, we encourage you to investigate what is available in 9.1 for Work Orders, Assets and Locations, and Work Queues.
