Introduce a flexible Tagging Framework in Maximo that enables users to apply reusable free-text tags to records such as Work Orders and Service Requests for categorisation, searching, filtering, and reporting, reducing the need for ongoing custom field creation.

Many modern enterprise applications, such as Azure DevOps, Jira, SharePoint and ServiceNow, allow users to apply free-text tags to records. Tags provide a lightweight categorisation mechanism that can evolve with business needs without requiring database changes, application modifications, or the addition of new custom fields.

In Maximo, when users need to categorise records in a new way, the typical solution is to:

  • Add a custom attribute.
  • Configure lookups and domains.
  • Deploy configuration changes.
  • Update reports and integrations.

This approach can increase application complexity, create technical debt, and result in numerous fields that are only used for specific scenarios.

Proposed Solution

Introduce a reusable Tagging Framework that allows users to assign one or more tags to records.

Benefits

Increased Flexibility

Business users can create categorisations themselves without requiring configuration changes.

Reduced Customisation

A single tagging capability can replace numerous one-off custom fields.

Faster Adoption of New Business Processes

New initiatives can immediately begin categorising records without waiting for system changes.

Improved Analysis

Users can group and analyse records across multiple dimensions that were not anticipated during system design.
