Core capabilities:
- Calendar view of available capacity based on labor, crews, resources, and work locations configured in Maximo
- Booking automatically creates an SR or WO linked to the asset, location, and requester
- Rescheduling and cancellation by the requester, governed by configurable rules
- Email/SMS confirmations and reminders
- Booked appointments visible to planners in Graphical Scheduling
- Role-based access for internal users, with optional external/guest access
Configurable Calendars per Department or Service Area
Administrators can create multiple scheduling calendars, each owned and configured by a department or service area (e.g. Fleet Shop – Main Yard, Facilities, Meter Services). Each calendar defines its own:
- Appointment types: e.g. PM service, inspection, repair intake, installation, each with a default duration, job plan, and work type
- Operating hours: business days, hours, holidays, and blackout periods, using Maximo calendars and shifts
- Labor and crew availability: capacity drawn from Maximo labor, crafts, and crews, so slots reflect who is actually available
- Resources: shop bays, work locations, or tools, with limits on concurrent appointments
- Booking rules: lead time, cut-off for changes, maximum bookings per requester, and whether approval is required
- Eligible requesters: which users, departments, or external customers can see and book on that calendar
- Work generation: whether a booking creates an SR or WO, and default values such as site, priority, owner group, and GL account
- Notifications: confirmation, reminder, and cancellation templates
Each department manages its own calendar without IT involvement. Requesters see only the calendars they're eligible for, and every booking flows into Maximo's standard work management.
Use Cases
- Fleet maintenance: department vehicle custodians book PM or repair appointments at the shop instead of calling or emailing the fleet office.
- Facilities: employees or tenants schedule maintenance visits at a convenient time.
- Utilities: customer-facing appointments for meter installations, service connections, or inspections.
- Field service: customers choose an available window for on-site service.
Business Value
- Lower administrative workload: fewer calls and emails to coordinate appointments.
- Higher asset availability and productivity: better-planned intake reduces no-shows, idle bays, and idle technicians.
- Better customer experience: self-service booking is now an expected standard.
- Business-owned configuration: departments set up and adjust their own scheduling rules without custom development, reducing reliance on IT.
- Stronger platform position: without this capability, organizations must build custom portals or consider separate point solutions for specific functions. A native capability reinforces Maximo as the single enterprise platform across all asset types.
- Cross-industry reuse: one capability serves fleet, facilities, utilities, and field service customers.
