Native DocuSign Integration for Maximo Manage

Provide a supported, configurable integration between IBM Maximo Manage and DocuSign that allows users and workflows to send documents for electronic signature directly from Maximo.

The integration should allow Maximo to create a DocuSign envelope using either a preconfigured DocuSign template or a newly generated document. Users should be able to identify recipients, assign signature/routing order, populate template fields from Maximo record data, and send the document for signature without leaving Maximo.

Maximo should receive DocuSign status updates, such as Sent, Delivered, Completed, Declined, Voided, or Expired. Once signing is complete, the executed document and DocuSign certificate of completion should be returned to Maximo and attached to the originating record through Doclinks. The integration should also support further Maximo workflow processing based on the signature outcome.

Business value:
Many business processes in Maximo require approvals, acknowledgements, contracts, permits, safety documents, project-scoping documents, and vendor/customer signatures. A native integration would eliminate manual downloading, emailing, tracking, and reattaching of documents. It would provide:

  • Faster document turnaround and approvals
  • Better auditability of signature status and completion history
  • Reduced risk of lost documents or use of unsigned versions
  • A complete record retained with the related Maximo transaction
  • Less custom development and fewer unsupported integrations for customers

Suggested functional capabilities:

  • Configure DocuSign credentials securely through supported authentication, such as OAuth.
  • Send documents from Maximo Doclinks, generated reports, communications, or workflow actions.
  • Support DocuSign templates and ad hoc envelopes.
  • Map Maximo attributes into DocuSign template fields.
  • Select recipients, roles, routing order, and email messages from Maximo.
  • Display envelope status and history on the originating Maximo record.
  • Receive completed/signed documents and the certificate of completion back into Doclinks.
  • Trigger workflow actions or status changes based on completed, declined, or expired envelopes.
  • Provide logging, error handling, retry capability, and security controls appropriate for MAS deployments.

Example use case:
A project-scoping document is initiated in Maximo and routed for approval. Maximo generates the document, sends it to DocuSign using a defined template, and tracks its signature status. After all required approvals are completed, the signed document and certificate are attached to the Maximo record automatically. Maximo then advances the record to the next workflow step, such as creating or updating the associated project information.
