Feature Request: Asset Presence Verification for Maximo Mobile Field Activities

Summary

Introduce a native Asset Presence Verification capability within IBM Maximo Mobile that validates and records whether a technician is physically present at, or within an acceptable proximity of, an asset when performing maintenance, inspection, or repair activities.

This capability would provide organizations with stronger assurance that field work recorded in Maximo represents work actually performed at the asset location, while improving auditability, compliance, workforce accountability, and data integrity.

Business Need

Many organizations rely on mobile technicians, contractors, and field service personnel to execute work orders, inspections, preventive maintenance, corrective maintenance, and repair activities across geographically distributed assets.

Currently, work activities can be updated or completed in Maximo Mobile without a standardized mechanism to verify that the technician is physically present at the asset location when the work is performed.

Organizations increasingly require a method to:

  • Confirm technician presence at the asset location.
  • Improve authenticity and traceability of maintenance records.
  • Support operational and regulatory audits.
  • Reduce the risk of remote or inaccurate work reporting.
  • Improve contractor and workforce accountability.
  • Strengthen compliance with maintenance governance processes.

Proposed Enhancement

Provide a configurable Asset Presence Verification framework within Maximo Mobile that can verify and record technician proximity to an asset during execution of field work.

The solution should support one or more verification methods, including:

Supported Verification Methods

  • GPS / Geolocation validation against asset coordinates or configurable geofences.
  • QR code or barcode scanning attached to the asset.
  • NFC tag scanning for close-proximity verification.
  • BLE beacon-based proximity validation.
  • Multi-factor verification using a combination of methods for critical assets or high-assurance activities.

Functional Requirements

Verification Trigger Points

Allow organizations to configure when verification is required, for example:

  • Arrive at Asset
  • Start Work
  • Record Inspection Results
  • Capture Measurements
  • Complete Work
  • Complete Inspection

Verification Record

Upon successful verification, Maximo Mobile should automatically create an auditable verification record containing:

  • User/technician identity
  • Asset reference
  • Work order or activity reference
  • Verification method used
  • Verification timestamp
  • GPS coordinates or proximity information (where applicable)
  • Verification status/result

Offline Support

The capability should function in offline mode.

When connectivity is unavailable:

  • Verification evidence should be captured locally.
  • Verification records should be securely stored on the device.
  • Data should automatically synchronize with Maximo Application Suite once connectivity is restored.

Compliance Enforcement

Organizations should be able to configure rules that:

  • Require successful verification before work can be started or completed.
  • Generate warnings when verification is missing.
  • Create exceptions requiring supervisor review.
  • Flag non-compliant work activities for reporting and follow-up.

Audit and Reporting

Provide a complete verification history for:

  • Compliance reporting
  • Contractor performance monitoring
  • Operational audits
  • Investigation of disputed maintenance activities
  • Maintenance governance and quality assurance programs

Many organizations currently develop custom solutions using GPS, QR codes, NFC tags, or third-party location services to achieve this requirement. A standard configurable framework delivered as part of Maximo Mobile would provide a consistent, scalable, and supportable approach that could be adopted across industries including asset management, facilities, utilities, transportation, manufacturing, energy, and public sector organizations.
