Proposal for Enhanced Functionality: Managing One-Time Shift Changes via Resource View

Within IBM Maximo Scheduler, we work with two alternating work patterns, where employees switch between day and evening shifts every two weeks. While this setup functions well for standard scheduling, there is currently no efficient way to apply a one-time shift change for a specific day directly from the Resource View.

Example Scenario

Our shift patterns are as follows:

  • Pattern 1: Week 1 = Day shift, Week 2 = Evening shift
  • Pattern 2: Week 1 = Evening shift, Week 2 = Day shift

If an employee needs to swap their shift for a single day (e.g., change from a day shift to an evening shift), the current process requires manual adjustments in Labor or Calendars. This is not only time-consuming but also carries the risk of accidentally modifying the entire shift cycle.

Proposed Enhancement

We propose adding a temporary shift change feature within the Resource View of Graphical Scheduling, allowing users to modify shifts in the same way they register absences (e.g., sickness or training).

Desired Functionality

  1. In the Resource View, the user selects the shift to be changed.
  2. Double-click on the employee to modify the shift code (e.g., change “D” to “E” or vice versa).
  3. The system automatically performs the following actions:
    • Removes the original shift for that specific day.
    • Assigns the new shift for that day.
    • Updates the shift code in the Resource View, ensuring it is linked to the corresponding working hours.
  4. The employee immediately sees their updated shift in the Resource View.

Key Addition: Linking Shift Codes to Working Hours

To make this functionality effective, shift codes (D for day shift, E for evening shift, etc.) must be directly linked to their respective working hours.

Currently, in Maximo, a “shift” is used as a pattern of shifts within a calendar, whereas in practical terms, “shift” often refers to a specific work period on a given day.

By ensuring that the shift code is directly tied to the correct working hours, a simple shift code change in the Resource View will be enough to correctly apply the new working time for that day.

Benefits of This Enhancement

Efficiency – Eliminates the need for manual adjustments in Calendars or Labor.
User-Friendly – A quick, one-time modification without affecting recurring schedules.
Clarity – Employees can see their updated shift immediately in the Resource View, just as they do for absences.
Control – The change is strictly limited to a single day, ensuring that the underlying shift pattern remains unchanged.

    Hi Willie, that is really nice idea and thanks for the details description, we will move along with Manage team to be synchronous once we must confirm all availability of Assignment Manager, Schedulling and Planning reads it.
