The need to better manage documentation that will be sync'ed to Mobile devices is common across a number of industries. At the moment, each different project comes up with their own custom solution in this space. Not having native OOTB functionality in this space is seen as a substantial gap by our clients. Some of them are even developing their own mobile applications to address this gap. Also, in our experience, document management in general represents a big risk when it comes to performance during the mobile sync process.The following set of suggestions, if implemented in Maximo and Maximo Mobile, could allow for a better native set of capabilities in relation to mobile document management. Please see them as a starting point for a bigger discussion & design, which myself and the IBM Australia Maximo team is happy to be part of.
- In Maximo,
- being able to idenfity/mark attachments in Assets, Locations, Work Orders, PMs, Job Plans and Items
which might be required when working in related records in maximo mobile
- In Max Mobile,
- a new application. Suggested name Document Library
- remove the process of downloading attachments for all mobile syncs - especially work orders and SRs. This will be done by the Document Library functionality below
- .e.g for work orders: when retrieving a work order list, after the work orders are downloaded (without the attachments first),
- show a dialog displaying the list of documents which could be downloaded to the device, as indicated as part of the first functionality in this idea
- inform the user that documents not downloaded, if accessed while on the field, will be downloaded on the spot
- documents that are already in the Document Library App are identified as such - so no need to re-download them
- in this dialog, the user should be able to select which new documents to download and also indicate which ones should be retained in memory after the work order is completed on the device
- the screen will show how many MB of download will be required based on current selection of documents to download
- once the user is happy with which documents need to be downloaded, max mobile will download all of the documents as a package
- documents which are URL links need to be manually downloaded by the user in the Document Library app (at least in this first version of the functionality. detailed design to be determined)
- doclinks will be retrieved from the Document Library app repo
- Document Library app will
- display how much storage is still available on the device
- allow the user to clear selected documents or documents which have been last used > X days ago (or, if that is not possible, that have been downloaded X days ago)
- allow the user to search for attachments linked to Assets, Locations, Work Orders, PMs, Job Plans and Items and download them to the Document Library app, while also configuring retention policy for those downloads

We are evaluating different options to integrate Maximo Mobile with an external document management system. Recreating a system like this inside Mobile is outside our scope.
