GRESB - Auto-adjusted Data Availability Dates and the Underlying Consumption Data Based on Asset Ownership Dates

Request: The platform uses the first or the last day of the month set as the account opened/closed date. Instead, can Envizi consider adjusting data to start and finish based on the specific date set as the account opened/closed date?

Why: There were several instances where manual interventions were required to adjust the data and the data availability dates since the data availability dates were not lining up with the date of ownership of assets which were either divested or acquired during the GRESB reporting period. This lead to a process of firstly pushing data through Envizi first, and then downloading the Asset Level Spreadsheet from the GRESB portal and adjusting the dates and the data manually, and having to re-upload the spreadsheet for final submission. This was mainly a concern from not only user-experience point of view, but convoluted the process of data assurance.

Benefit: Having this feature will simply the process, as users will be able to streamline the submission without minimal manual intervention.

How: Any estimated/accrued/actual data beyond the account opened/closed dates will be cut off to start/finish in line with these dates using Envizi's daily data calculation methodology. Accounts that are tagged correctly and have the dates specified as its account opened/closed dates will push the adjusted data to GRESB Asset Summary Page.

    Hi Brian,


    Thanks for raising the idea in Aha for the suggestion on data availability dates.


    While reviewing the idea, there are a couple of things that may be worth clairfying with you.


    It appears that there are two topics being covered here - 1) the 'From' and 'To' Data Availability Dates fields (e.g., dd/mm/yyyy) in Energy/Water/Waste section and 2) the question on the date range used to populate the actual data in the GRESB Asset Summary grid.


    For 1 the Availability Dates are determined based on earliest and latest available monthly data within the reporting period and rounded to either the first day of the month, or last day of the month. For example, if we know data has been captured from 4-Feb-2022 to 16-Jan-2023, the platform will populate the two availability dates fields as 1-Feb-2022 and 31-Jan-2023 in the Asset Summary grid. This logic applies to the dates fields only but does not apply to the actual data that is being collected for reporting (which will be covered in the second point below). We would like to know that given the logic is explained here, if this is still an issue?


    For 2 the actual data collected to be reported in the Asset Summary grid, in general it retrieves all monthly data within the reporting period. To ensure the monthly data does not include data before or after the account open and close dates (which may not align with invoice record dates) - there is a data pro rata feature in the platform that can do this. If this feature is enabled, only data within the range of Account Open and Closed dates (if any) will be included in monthly data for reporting. The feature however is a generic feature and would impact all reportings in the platform including GRESB (monthly data summary, dashboards, power reports etc.).

    A proposed solution here would be to turn on the data pro rata feature for your Envizi environment but that would obviously affect all data reporting. Please let us know if this is something that you would like to consider.
